Akonovia privacy policy

Akonovia Consultants Inc. (hereinafter Akonovia) attaches particular importance to respecting the privacy of individuals and the protection of their personal information, which is why Akonovia has implemented a protection management program and policies personal information.

PERSONAL INFORMATION

We understand by “personal information” any information concerning a natural person which, taken individually or combined with other data or information, allows, directly or indirectly, to identify him or her.
Generally, personal information does not include professional contact information such as name, title, address or work telephone number.
This may include information collected on and from staff as well as that of customers or users.

COLLECTION, USE AND DISCLOSURE OF PERSONAL INFORMATION

Akonovia strives to limit the collection of personal information to what is strictly necessary to fulfill the purposes for which it is collected. Unless the person concerned consents or the law provides for it, Akonovia does not disclose or use personal information for other purposes.

Furthermore, Akonovia generally obtains the necessary personal information directly from the persons concerned, with their consent, subject to the exceptions provided for by law. Akonovia does not collect, use or disclose personal information without consent or without being authorized or required by law to do so.

It should be noted that any person has the right to refuse to communicate their personal information to Akonovia, subject to Akonovia's legal obligations and in return for the risk that Akonovia cannot offer the requested service or cannot carry out the mandate entrusted.

COLLECTION

As part of its operations and activities, Akonovia uses and collects the following personal information directly from the persons concerned:
§ Personal information relating to hiring and recruitment, including contact details of individuals, their curriculum vitae, their diplomas and other information on their backgrounds and experiences;
§ Personal information relating to and necessary for employment, in particular, bank details and social insurance number;
§ Customer contact details.

This personal information is collected directly from the person concerned who provides it to us digitally.

Otherwise, Akonovia collects certain data from its website or online platforms which are automatically generated by the browser and transmitted by technological means and are essentially as follows:
§ Contact details of website users who completed the online form;
§ Browsing data and other information accessible from cookie files (“Cookies”).

Cookies are generated by the browser and placed on the user's electronic device in order to collect useful and necessary browsing data. The function relating to cookies can, at any time, be deactivated on the browser or from the device used.

In accordance with the law, Akonovia also collects personal information from third parties. The collection is made with the consent of the person concerned or by ensuring that they have been lawfully collected and communicated by the third party. This information may include, but is not limited to, emergency contact information provided by the employee.

USE

Akonovia uses this personal information only for the purposes indicated at the time of collection or in accordance with the law and regulatory requirements. This includes, in particular, the following purposes:
§ Communicate with our employees and fulfill our employer obligations towards them, in particular, payment of pay and registration for the various plans offered;
§ Evaluate applications for vacant positions and apply the various internal policies;
§ Communicate with our customers and provide our services;
§ Communicate with the user of our web questionnaire and answer their questions, if necessary;
§ As part of cookies, remember settings, preferences and produce statistical compilations and other internal analyzes in order to improve business development and marketing;
§ For purposes necessary or incidental to the goods or services provided;
§ For any other purposes to which a person has consented.

COMMUNICATION AND DISCLOSURE

Akonovia may be required to disclose and communicate some of the personal information in its possession for the reasons described below and to the following third parties:
§ Human resources and accounting service providers;

In order to fulfill its obligations as an employer, to host employee information and to subscribe to the various programs offered.
§ Public and government organizations;

In order to fulfill its obligations as an employer.
§ Data hosting service providers;

In order to host the data necessary for activities, including human resources management.
§ Web service providers;

In order to analyze the website and remove the cookies such as strictly necessary cookies, statistical cookies, preference cookies and marketing cookies.

Furthermore, Akonovia may communicate other personal information when it is authorized or required to do so by law, in particular, to public and government bodies as well as to the courts.

Before communicating any personal information, Akonovia always ensures that it is authorized by law or obtains the consent of the person concerned.

At no time will Akonovia sell or exchange personal information for payment.

COMMUNICATION ABROAD

Akonovia uses service providers, particularly for data storage, located outside the province of Quebec. However, personal information is transferred and thus communicated in places located outside the province.

Akonovia ensures, however, that any personal information communicated abroad is transferred to countries, states or territories with a similar legal regime and principles of protection of personal information, or that the personal information is adequately protected by means technical, organizational, contractual or other appropriate legal means.

THE PRESERVATION AND DESTRUCTION OF PERSONAL INFORMATION

RETENTION OF PERSONAL INFORMATION

Personal information is only kept for the duration necessary for its use and for the purposes provided for in this Policy after which it will be destroyed.

As mentioned, personal information held by Akonovia is communicated abroad and may therefore be stored there. Akonovia points out, however, that it ensures that information stored abroad is adequately protected by the means mentioned.

SECURITY MEASURES RELATING TO THE RETENTION OF PERSONAL INFORMATION

Since no method of storing and transmitting data is infallible, the security of personal information cannot be guaranteed by Akonovia.

However, Akonovia applies the necessary and appropriate security measures to ensure the confidential nature of personal information in accordance with recognized principles.

Among other things, personal information held by Akonovia is only accessible by staff members having the status and authorization to exercise their functions according to a well-established internal policy.

Furthermore, Akonovia has implemented appropriate internal policies and procedures to avoid any incident relating to personal information (unauthorized access, unauthorized communication, illegal processing, loss, theft, etc.), in particular, training and signing confidentiality agreements.

They also determine the applicable framework in terms of prevention and information security, confidentiality incidents, evaluations of factors relating to privacy in the processing of complaints and requests.

RIGHTS

Any individual concerned by the collection, use, communication and disclosure of their personal information by Akonovia has the right to have access to it. This individual also has the right to rectify personal information if it is inaccurate, incomplete, equivocal or if its collection, communication or use is prohibited by law as well as the right to delete it in certain cases.

The individual concerned may exercise the applicable law by making a written request to the Personal Information Protection Officer who will assist them if necessary.

PERSONAL INFORMATION PROTECTION MANAGER

Akonovia management has delegated the management of the company's personal information to its Director of Human Resources. This person responsible for the protection of personal information is responsible for ensuring the entire management of personal information, including the establishment and approval of a protection program, policies, measures, their compliance and their effectiveness as well as assistance in processing requests and complaints and their follow-ups.

WEB APPLICATION

This Policy applies only to the Akonovia websites on which it is found. Under no circumstances is Akonovia responsible for the management of personal information from third-party websites that can be accessed from its own websites.

It is everyone's responsibility to read any other policies to ensure the protection of their personal information.

UPDATE

This Policy may be revised and updated at any time in order to comply with applicable standards and practices and to respond to reality and changes in Akonovia's operations and activities.
